How to obtain the “Dissertation Handbook for Ph.D. by Dissertation (『学位申請者(論文博士)のための手引き』)”

A candidate for the Ph.D. by Dissertation must consult with and receive approval from an academic advisor or a professor who referred you to the Graduate School of Arts and Sciences and receive the Dissertation Handbook for Ph.D. by Dissertation at the section in charge. A candidate wishing to have the dissertation handbook sent by postal mail are required to send a self-addressed stamped (equivalent to 240 yen) envelope (240mm×332mm size) to the address below. You are also required to write “Request for Dissertation Handbook for Ph.D. by Dissertation” in red on the front side of an envelope. For more details, refer to the Japanese website.

How to Request a Certificate

Requesting at the counter

Complete and submit the Certificate Request Formicon_pdf.gif to the section in charge. Certificate Request Form is also available at each counter.

Requesting by Post

Download, complete, and send the Certificate Request Formicon_pdf.gif to the section in charge. A requester must be a current student or an alumnus of the Graduate School of Arts and Sciences. Make sure to write “Certificate Request Form enclosed” in red on the front side of the envelope.

When you make a request by postal mail, the date of arrival of the Certificate Request Form at the section in charge will be the date of acceptance. Make sure to request certificates well in advance, considering the conditions of postal service.

How to Receive a Certificate

Receiving at the counter

When a requester receives a certificate at the counter, please show your student ID card or other valid ID. If someone other than the requester receives the certificate on behalf of the requester, a letter of proxy (no set format) from the requester and the ID of the recipient are required to receive the certificates.

Receiving by post

When you wish to receive the certificate by postal mail, you must bring/enclose a self-addressed stamped envelope along with the Certificate Request Form.

When you wish to have your certificate sent overseas by postal mail, please enclose a self-addressed envelope with Japanese stamps, or International Reply Coupon (IRC) equivalent to the necessary price for the university to send you your certificates. One IRC is equivalent to 130 yen in Japan. For more details of the postage, visit the Japan Post webpage..
 

Processing Time for Issuing

The time which takes to process a request after we receive a complete Certificate Request Form is as below.

Certificate (Program Withdrawal)

 

Certificate (Program Withdrawal with Satisfaction of Credit and Enrollment Requirements)

Certificate for students who obtained the degree after having withdrawn from the program with satisfaction of credits and program requirements is Certificate of Academic Degree.

Certificate (Expected Program Withdrawal with Satisfaction of Credit and Enrollment Requirements)

Students must have submitted a Request for Withdrawal to the section in charge.

Certificate of Expected Academic Degree

Students must have submitted their Doctoral Dissertation in order to request this certificate. The date of the degree’s conferral must be finalized for students who do not expect to be awarded the degree in March (or in September for the GPEAK students).

Certificate of Academic Degree

This is to certify the Ph.D. degree completion.

Research Students

Reissuarance of Student ID Card

*Starting April 1, 2012, a replacement fee of 2,000 yen will be charged for any lost, stolen or damaged cards that require replacement.

See here for details.

If your student ID card has been lost or stolen on campus, first contact the Student Support Section. If not found, obtain a Request for Re-Issue of Student Identification Card icon_pdf.gif from the section in charge and fill out required fields. If the reissuance is due to a lost, stolen or damaged student ID card, you are required to pay the re-issue fee of 2000 JPY. Please submit the form with the payment receipt or payment statement attached to the appropriate space of the request to that section. It will take about two weeks to reissue your card.

If you use a Post Pay Service or credit card function on your student ID card, please promptly contact the Utility Card Reception: Tel: 0120-664476 (9 AM – 6 PM).

When your name has been legally changed while your enrollment, please submit an official documentation of your former and new full name (for example, a photocopy of your driver’s license) along with the Notification of Change in Name icon_pdf.gif  to the section in charge.
As a general rule we do not accept a request for name changes after you have finished the degree or withdrawn from school.

Even if you plan to continue using your former name in the university, it is requested that you submit the Notification of Change in Name. In this case, please make a note indicating that you wish to continue using your former name in the university. Also confirm the current mailing address or name on the UT-mate is accurate, so that a mail from the University reaches you correctly.

The reissuance of the Student ID card due to the name change will take about two weeks.

Extension of Enrollment Period

Notification of Extension of Enrollment Period must be submitted once a year in August for October-entry students or in February for April-entry students.

Information about the submission period is posted on the PEAK/GPEAK Section and the Graduate School Section webpages. Please frequently check the webpage for the update. In the case that you are going to exceed the official length of program in the middle of the academic year (because of the leave period) you do not especially need to submit the notification.

When you wish to extend your enrollment period, first receive a Notification of  Extension of Enrollment Period (Master's icon_pdf.gif/Doctoral icon_pdf.gif) from the appropriate section in charge, fill in the necessary items, obtain seals from the academic advisor and the head of the department and return this form to that section. The notification form cannot be accepted if students have outstanding financial obligation to the university or if the request form is incomplete.

Please note that if you do not submit a Notification of Extension of Enrollment Period and do not submit either the Request for Withdrawal or Leave of Absence, your enrollment period will be automatically extended until the end of your maximum length of enrollment (three years for Master’s students, five years for Ph.D. students) and you will be subject to the next semester’s tuition.

When a student withdraws from the Graduate School of Arts and Sciences due to personal reason or the expiration of the maximum length of enrollment, first receive a Request for Withdrawal  icon_pdf.gif from the section in charge, fill in the necessary items, obtain seals from the academic advisor and the head of the department and return this form to that section. This process must be completed approximately two months prior to the date of withdrawal. The request cannot be accepted if students have outstanding financial obligation to the university or if the request form is incomplete.

Please note withdrawal date generally has to be the last day  of the month.

If you are a scholarship recipient, you may need to go through a separate procedure regarding scholarship payment, before submitting the Request for Withdrawal.

1. Procedures for taking leave of absence

When a student takes a leave of absence, first receive a Request for Leave of Absence icon_pdf.gif
from the section in charge, fill in the necessary items, obtain seals from the academic advisor and the head of the department and return this form to that section. The request cannot be accepted if a student has outstanding financial obligation to the university or if the request form is incomplete. 

The period students can petition at one request should not exceed one year. In order to extend the period of the leave of absence, students must submit an additional Request for Leave of Absence form approximately two months prior to the end of the current leave period. Please note, however, that one sick leave must end on March 31 at the longest. If you wish to extend the period of the sick leave, please consult with the section in charge. If you are a scholarship recipient, you need to check for separate procedures regarding scholarship payment before submitting the request.

*Submit a photocopy of the front cover of Maternity Health Record Book when you are prenatal, and the birth certificate as well when you are postnatal.

 

2. Lengths of Study and Leave (See Article 29 of the University of Tokyo Rules on Graduate Schools)

Leave of Absences will be granted for a minimum period  of two months, and must not exceed three years for Ph.D. students and two years for Master’s students.
Please note that the time spent on-leave is not counted as part of the standard program duration (two years for Master's students and three years for Ph. D. students) and the maximum allowed time to complete the degree (three years for Master's students and five years for Ph. D. students).
 


3. Returning from Leave of Absence

When the reason for the absence has been dispelled, a student must receive a Request for Resumption of Studies
 
icon_pdf.gif form, fill in the form and return it to the section in charge.

Those who return to their studies as planned after a leave of absence are also required to submit the above form to that section. Even if students do not submit a Request for Resumption of Study at the expiration of the leave period, such students will be regarded as returning to studies and are subject to the tuition fee payment. Student with sick leave must submit a medical certificate on return as well.

 

4. Tuition

Students with on-leave status are exempted from the tuition fee payment for the leave period on condition that students complete all necessary procedures approximately one month prior to the start of the leave.  If students petition for a leave of absence after the designated date, the last day of August for the Winter semester and the last day of February for the Summer semester, students will be subject to the full payment of tuition for the semester.

Once a Request for Resumption of Studies is approved, the tuition fee from the month of resumption to the end of the semester must be paid by the end of the month of resumption. The tuition fee will not be refunded under any circumstances.
 

5. Degree Thesis Submission

Students on leave are not eligible to submit the degree thesis.

  JASSO Student Exchange Support Program (Scholarship for Long- term Study Abroad) (Japanese website)

This scholarship is awarded to students who seek the Master’s or Ph.D. degree overseas. Monthly amount ranges from 89,000 to 148,000 yen, depending on the destinations. In terms of the tuition fee, up to 10,000 US$ will be provided as actual expense.

 
The University of Tokyo Travel Abroad Scholarship for Short-term and Very Short-term Programs (Japanese website)

 

This scholarship is a financial aid for students who travel abroad for study or research. Monthly amount range from 60,000 to 100,000 yen, depending on the destinations.

Research Grant Program (Internal)

The grant supports students to participate in conference or fieldworks held in Japan. The application period is set once a year. As a rule, round trip transportation based on actual expense and 5,000 yen for research support are awarded.  ※This project ended in 2011.

  Grants for Ph.D. Research

This program provides excellent Ph.D. students with a special support for their research activities. Grant amount per year: 300,000 yen

  Research Fellowship for Young Scientists, Japan Society for the Promotion of Scienceicon_window.gif The program supports young researchers at the highest level to conduct their scientific research activities. Monthly stipend for DC1/DC2: 200,000 yen

If you would like to receive research supervision at graduate school or research institution inside or outside of Japan, first receive a Request for Approval of Research Supervision Received at Partner Institution *In Japanese icon_pdf.gif  from the section in charge, fill in a form, obtain seals from the academic advisor and the head of the department and return this form to that section. 

The time period must not exceed one year. However, Ph.D. students may extend the time period for another year.  Tuition fee during the period abroad must be paid since you retain enrolled status.

When you have been accepted as a DC1/ DC2 research fellow for the Japan Society for the Promotion of Science (JSPS),  you must submit the “特別研究員海外渡航届(様式7) to the JSPS at least one month before your departure. Please contact the relevant section for further instructions soon after you plan your trip.

UT-mate is a Web-based system open to all graduate and senior division undergraduate students at the University of Tokyo for the following types of activities. Through this, students can register for courses, view grades/ academic records, and change personal information  from on-and off-campus.

Please ensure that you keep your information accurate and up-to-date. Your e-mail address will be used to send you important notification from the University  in an emergency. Please also report your address change to the Graduate School Section or the PEAK/GPEAK Section, and the Komaba Health Service Center.

Registration periods vary every semester. Refer to the Academic Handbook for details.

Notes:

  1. Read the ‘UT-mate User Manual for Students’ carefully. This User Manual can be found on the first page after login.
  2. Adjust the appropriate web browser settings following instructions in the Handbook.
  3. New students are provided a username and initial password to enter the UT-mate. For your own security, change your initial password immediately after your first login. It is your own responsibility to keep your password safe.
  4. If you have forgotten your username or password, it can be reissued at the Graduate School Section (counter No.5) (for PEAK students, to PEAK/GPEAK Section (counter no.2)). You are responsible for bringing your student ID card when you make a reissue request. Note that if you had previously changed your password, it will be reset to the initial one. No inquiries by e-mail or telephone are accepted.
