Issuing Certificates (Alumni of Faculty of Arts and Sciences)

Please make a request for certificate issuance well in advance.
Certificates cannot be sent to anyone or any institutions other than the student/graduate by postal mail

Notes

When requesting a certificate, fill out an application form for certificates(ExcelPDF)and submit it to the Academic Affairs Division (for PEAK students, to PEAK/GPEAK Section). Certificates may be requested using the said form by post or email but should be received in person at the counter, or if you would like to receive the certificate by post (only available for the domestic mail service), please consult the PEAK/GPEAK Section after checking the application process below.

*The name on each certificate will be as it was during your enrollment, and we do not accept requests for changes. For those who have changed their name after graduation, please attach your own documentation, such as a certificate of family register or an explanatory letter regarding the name change, when submitting to the relevant institution.

Use of automatic certificate-issuing machine

For those who graduated later than March 2006 and are currently enrolled in the graduate school of the University of Tokyo, Certificate of Completion and Transcript of Academic Records in Japanese are issued through the automatic certificate-issuing machine installed on the first floor of the Administration Building. You will need the password you used in the Senior Division when issuing said certificates.

In person at the counter of Academic Affairs Division

1.Some identification must be presented (e.g. student ID card, driver's license, passport or health insurance certificate card, etc) to apply for and receive certificates. If a proxy comes to apply or receive certificates in place of you, the Proxy Form (no set format) must be filled out by the applicant.(Click here for counter information)

2.Bring or fill out the application form at the counter and submit it.
If a proxy applies in place of you, proxy's identification must be presented.

*If you would like to receive your certificate by post, bring stamps to mail the certificate to you. Refer to the rough standard of the postage rates below and bring the exact fee of stamp.

Receiving Your Certificate by Post

(If you would like to receive certificates by post (only for the domestic mail service), please consult the PEAK/GPEAK Section after checking the application process below:
Please enclose the following 3 documents and send them to the Academic Affairs Division Office addressed below.
*We do not accept application by phone, or fax.
*In principle, the student or former student himself/herself needs to apply for the certificate.

(1) Application form for certificates (be sure to properly fill out the form)

(2) Self-addressed stamped envelope
1 Nagagata No. 3 (120 × 235 ) envelopes are preferred. (if you are in Japan)
*If you apply for many certificates, please use kakugata No. 2 (240 × 332 mm) envelope.
2 Please write down the recipient's postal code, address and name.
*Receiver is limited to the applicant.
3 Please put an exact amount of stamp needed to send it back to you.

*If you need your certificates urgently, please put a stamp for express post. (Refer to the Japan Post webpage).
*For applicants abroad:
If you cannot obtain Japanese stamps, you may buy international reply coupon(s) at a post office and send it/them to us with a self-addressed envelope. (One international reply coupon is equivalent to 160 yen. However, only IRCs issued in Japan by 30 September 2023 will be exchanged for Japanese stamps at 130 yen each. For more information, see the Japan Post website.)

(3) Copy of your identification document
Attach a copy of your identification document (Student ID card, driver's license, passport, health insurance certificate card, etc)

*1 Request Forms to be varified will take time to be issued. Apply well in advance. Also, if you have any questions concerning certificates, please inquire us in advance.
*2 Service counters may not be open during New Year holidays, summer holidays and Entrance examination periods. Please contact in advance.
If you apply by post, please be aware of the postal circumstances.

*3 We will send the certificate only to the person or their family residing in Japan. To any other persons or institutions, the person or their family must forward it.

If you wish to have the certificate of the Junior Division and/or that of Graduate School of Arts and Sciences enclosed in the same envelope, you may add a memo in writing.

Mailing Service Request from Alumni Abroad

When you wish to have your certificate sent overseas via postal mail and cannot use Japanese stamps, you may purchase an International Reply Coupon (IRC) at post office and enclose it when applying. You should send the stamps or coupon more than equivalent to the necessary postal rate for the university to send you your certificate(s). Unused stamps will be returned, if any. (For the use of IRC, the uncharged amount will only be returned.) Please also attach a photocopy of your identification document (Student ID card, driver's license, passport, health insurance certificate card, etc) to the request form.
If you are currently enrolled in our university, it is acceptable to request certificates by post only when you cannot use the certificate-issuing machine due to special reasons including studying abroad.

Notes: Be sure to confirm once again that you have entered in the required fields with nothing omitted before sending your documents.

Issuing Electronic Certificates (Update: February 1, 2024)

The electronic certificate issuance is being operated on a trial basis and only applies to regular certificates. The new system is not available to all departments/divisions as it is a provisional service and is subject to change in the future. The PDF document will be digitally signed and therefore contains special characteristics. A paper printout of this PDF document is not valid as an original certificate. Only those currently required to submit certificates in electronic format may apply for the issuance of electronic certificates. Please enquire at the PEAK/GPEAK Section for details.
